Getting Your Emails Opened: Key Strategies for Success
Written on
Chapter 1: Understanding the Email Challenge
You've just crafted what you believe to be an excellent internal email for your colleagues. With a smile, you anticipate enthusiastic replies, yet the silence is deafening. To your dismay, key stakeholders didn’t even bother to open your message. "Does this sound familiar?"
Statistics reveal that the average email open rate across various industries hovers around 38%. This dismal figure often reflects the situation in many organizations, where less than half of both internal and external emails get opened.
In this article, I will share methods to improve your email open rates, both internally and externally, drawing from effective strategies I've developed over time.
Why Aren't People Clicking?
Having spent time in the email industry, I’ve learned what contributes to higher open rates. The way we format and phrase our emails significantly influences how often they're opened and clicked. The challenge lies in the fact that your audience is bombarded with competing priorities, often leading to a lack of time to engage with your emails. If your email doesn’t convey, “READ ME, I HAVE VALUABLE INFORMATION,” within just a few seconds, you can expect a low open rate. Let's explore strategies to capture your audience's attention and elevate your email engagement.
The Essential Ingredients
While it may seem like a mystery, there are two primary ingredients, along with several supporting factors, that enhance open rates.
Main Ingredients: Curiosity and Urgency
These two elements are critical, particularly in your subject line—the first aspect a reader notices (after the sender). A compelling subject line should be concise, clear, intriguing, and evoke a sense of urgency. Consider it akin to a headline as you craft your subject line.
In our upcoming workshop, I’ll provide a practical example.
Supporting Ingredients:
- Personalization: Tailor the email to make the recipient feel it’s specifically for them.
- Questions or Teasers: Use these to ignite curiosity.
- Statistics: Presenting data can capture attention effectively.
- Clear Call to Action (CTA): Make sure the purpose of your email is explicit.
- Timing: Research shows that peak open rates occur at specific times, such as 10-11 AM (21.5% open rate) in North America and 8-9 AM (25.4% in Europe).
- Best Days: Studies indicate that Tuesday (18% open rate) and Thursday (23% open rate) are optimal days for sending emails.
- Highlighting Benefits: Clearly convey the advantages or urgency in your message.
- Preview Visibility: Ensure that key elements are visible in the email preview to attract recipients early.
Let’s Improve Our Subject Lines
In this quick workshop, consider this subject line: "Quarterly 2024 Department Stats."
Would you be inclined to open such an email? Most likely not!
To enhance it, let’s incorporate our main ingredients—curiosity and urgency. Using "How" can pique interest, prompting readers to discover the details.
Let’s refine this subject line by starting with "How," adding "We" for personalization, and incorporating "Crushed" to stimulate curiosity. Here are two improved options:
- How We Crushed Our 2024 Quarterly Goals with These Stats
- 2024 Quarterly Goals: How Our Team Achieved a 50% Increase in Output
To inject urgency, consider adding, “Feedback Survey Closes Tomorrow.”
Finally, you may want to conduct an A/B test with a small group in your organization to determine which subject line garners a higher open rate.
Conclusion
Achieving a high email open rate can be challenging, especially when even your manager may overlook your messages. However, by refining your subject lines, integrating the supporting elements mentioned, and conducting A/B tests, you can significantly enhance your open rates.
In an upcoming article, we will focus on crafting the body of an email.
